When exporting and reconciling a SumUp sales report, the goal is to make shifts, orders, and bank deposits explain each other. Menus can differ by country, device, and role. Follow your logged-in SumUp UI and official help. This article is for merchants taking real in-person or online payments.
Fix the reconciliation period and owners
Decide whether you reconcile daily, by shift, or weekly, and name an exporter and reviewer. A stable period makes missed sales, duplicate refunds, or sync gaps easier to spot.
Confirm time zone, business-day cutover, and store/device filters before two people export different ranges.
Export payments, refunds, and fees together
Use a date range that matches your books and include sales, refunds, cancellations, and fee-related rows when available. Keep payment-method fields if the report provides them.
Store files in an access-controlled location with the date range and exporter in the filename. Do not paste raw customer payment exports into public chats.
Cross-check POS, orders, and shift totals
Compare SumUp successful counts and amounts with POS or invoice totals. Investigate refunds, partial payments, incomplete sales, or offline uploads before changing books.
For each exception, keep the SumUp ID, internal order ID, reason, and reviewer note.
Separate sales day from settlement day
Sale date and bank arrival date can differ. Review sales reports and payout/settlement records separately.
If a settlement does not match that day’s sales, inspect fees, refunds, and cross-midnight transactions. Contact official support with the export and settlement ID when needed.
Re-check after staff or device changes
After adding cashiers, replacing readers, or changing store structure, confirm report filters still cover every real selling point.
Watch for retired devices creating odd rows or new devices missing from the usual report view.

FAQ
Why do sales totals differ from bank deposits?
Fees, refunds, cross-day settlement, or payment-method mix are common causes. Reconcile sales and settlement views separately.
Which permissions are required to export?
It depends on role settings. Ask an admin to grant access for your duty instead of borrowing logins.
How do refunds affect reconciliation?
Refunds reduce net sales and may appear on different rows or dates. Link each refund to the original sale.
Are screenshots enough?
No. Keep structured exports plus internal review notes for auditing.
