Confirm the receiving account is current and complete

In Wise, open the receiving details for the relevant currency or region and confirm account holder name, account numbers, bank codes, and address fields match your registered business. If the legal name changed, update the account before sharing new details.

Keep invoices, contract attachments, and auto-replies on controlled templates so sales teams do not paste outdated screenshots.

Tell payers which reference fields are required

If a payment reference or invoice number is required, print it clearly and warn that mistakes can delay matching. For bank transfers, confirm the payer’s banking UI can accept the characters you need.

Do not ask customers to pay a personal account or an entity that is not on the invoice. The receiving entity should match the contract.

Use arrival notices for internal allocation

After funds appear, match amount, currency, payer name, reference, and time to open invoices. If automatic matching fails, follow a finance rule to contact the owner instead of posting to the wrong project.

Store the Wise transaction ID beside the internal voucher ID. Never paste passwords or one-time codes into public chat.

Trace missing funds with a timeline

Ask the payer whether the debit succeeded, which detail version they used, the reference, and the bank receipt time. Search Wise by amount and date and allow a reasonable bank-processing window.

If nothing appears, prepare the receipt, detail version, and messages, then contact Wise support or the sending bank. Do not follow unofficial “speed up” advice that changes data randomly or repeats unclear transfers.

Review outbound payment materials regularly

Each month check website, email signatures, PDF templates, and support macros against the current Wise page. Revoke old template access when staff change roles.

For multi-currency work, maintain clear instructions per currency so customers do not pay the wrong one. Always trust the live account display and official help.
