Configuring Square team permissions lets cashiers, managers, and finance work under separate access instead of one shared owner login. Available permissions vary by country, product, and plan. Follow the live Square UI and official help.
Start from least privilege by role
List required tasks for cashier, manager, inventory, and finance roles. Grant only what each task needs.
Convenience is a weak reason for broad access. Limit refunds, customer exports, and bank changes to a few people.
Give every person their own login
Use individual identities on devices and dashboard views so refunds and price changes are attributable. Avoid shared passwords or PINs.
For lost devices or temporary coverage, grant substitute access with an end time instead of permanent admin rights.
Review refunds, discounts, and report access separately
Define who can refund, void, or discount, and require a reason note. Spot-check unusual refunds.
Match report and customer-data export rights to real duties. Not every role needs full profit reports.
Revoke access on the day roles change
When someone leaves or finishes a contract, disable Square access immediately and confirm store devices. Update emergency contacts and backup approvers.
Keep a change log with time, operator, teammate, and what changed.
Revisit permissions each quarter
Compare access with the current org chart and retire old PINs. In multi-location setups, check for excess cross-store rights.
If Square shows security or verification tasks, the business owner should handle them through official flows—not by sharing admin credentials with unknown parties.

FAQ
Should every associate be able to refund?
Usually no. Grant by role, require notes, and review exceptions.
What is wrong with a shared login?
You cannot attribute actions or cleanly revoke access. Use individual members.
How should temporary staff be set up?
Use the shortest and smallest access window, then disable it after the shift.
Do managers need every financial report?
Only if their job requires it. Keep company banking and tax-level access with finance owners when possible.
